These terms apply to your use of S4 — the S4 mobile app and the S4 web application at app.sfour.co.uk. S4 is provided by Vesoft Services Limited (company number 08707130), registered at 241 Manningham Lane, Office 1a, Bradford, England, BD8 7ER. PatrolSafe by S4 has its own Software Licence Terms further down this page.
1. Who is who
- Vesoft Services Limited ("we") provides the S4 software and service.
- A security company ("your company") uses S4 to run its operations. Your company's own agreement with us governs its subscription and use of S4 alongside these terms.
- You are a person who uses S4 — a Guard, a member of a company's staff, a client user given access by a company, or an S4 administrator at Vesoft Services Limited.
2. Your account
You must be 18 or over to use S4. Keep your password private, do not let anyone else use your account, and tell us straight away at info@vesoft.co.uk if you think someone else has used it. The information you give in S4 — including your SIA licence and right-to-work details — must be accurate and kept up to date.
3. Your company's responsibilities
Your company is responsible for recruiting, vetting, licensing, deploying and supervising its staff, and for its own legal and contractual obligations, including employment, health and safety, licensing and data protection. Using S4 does not make Vesoft Services Limited the employer of any Guard, and does not transfer those responsibilities to us.
Any screening, compliance status or badge shown in S4 records the checks that were carried out and their outcome. It is not a guarantee that a person is suitable for a particular role or site; that decision remains your company's.
S4 does not provide insurance and does not replace your company's own insurance, licensing or compliance arrangements.
4. Shifts, attendance and operational records
Shift times, offers and assignments are set by your company. Book On and Book Off create attendance records, and at sites where your company requires it, Book On includes a location check — see the S4 Privacy Policy. Welfare Checks, Log Book entries, incidents and Site Requests are records your company and its clients may rely on, so they must be truthful and made at the time they describe.
5. Acceptable use
You must not:
- make false or misleading records, including Booking On somewhere you are not;
- use another person's account or try to access a company, record or account you are not authorised to use;
- interfere with, overload, probe or try to bypass the security of S4;
- copy, resell or reverse engineer S4, except where the law allows it;
- use S4 for anything unlawful, or to harass or harm anyone.
6. Records and content
Records you and your company create in S4 remain your company's operational records. You allow us to store, process and display them as needed to provide S4 to your company and the people it authorises.
7. Our software
S4, its software, design and brand belong to Vesoft Services Limited or its licensors. You may use S4 only as these terms and your company's agreement allow.
8. Availability and changes
We work to keep S4 available and reliable, but we do not promise that it will always be uninterrupted or error-free, and it depends on devices, networks and third-party services outside our control. We may change, improve or withdraw features, and we will try to give reasonable notice of significant changes.
9. Third-party services
S4 relies on hosting, storage and email providers, and on app stores to distribute the app. Their own terms apply to their services.
10. Suspension, ending use and account deletion
Your company can remove your access to its workspace. We may suspend or end access to S4 where it is misused, where these terms are broken, where security requires it, or where your company's agreement ends.
You can delete your account at any time — see our account deletion page. Records that must be kept for legitimate legal, contractual, security, employment, accounting or evidential reasons may be retained after deletion, as the S4 Privacy Policy explains.
11. Our responsibility to you
Nothing in these terms excludes or limits any liability that cannot lawfully be excluded or limited, or your statutory rights. Where your company has an agreement with us, that agreement governs our responsibilities to your company.
12. Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction over disputes about them. This does not take away any protection you have under laws that cannot be excluded by agreement, including any right to bring proceedings in the courts of the part of the United Kingdom where you live.
13. Changes and contact
We may update these terms. The effective date and document reference at the top show which version applies, and we will tell you in S4 or by email about significant changes. For questions about these terms or help with S4, email info@vesoft.co.uk.
